Total cost lives in response times, not day rates

Facility contracts are usually compared on annual price, but the money is decided elsewhere: how fast a leak above a server room gets attended, how often 'included' visits actually occur, and how much reactive work gets invoiced as extras. A contract priced 15% lower that responds in eight hours instead of one is not cheaper — it has moved the cost into your downtime, your tenants' complaints and your own staff's escalation time. Evaluate the SLA first and the price against it, never the reverse.

The SLA checklist that predicts reality

Meaningful SLAs specify severity levels with response times for each; named escalation contacts with phone numbers; planned visit schedules by trade; reporting cadence and format; and remedies when commitments are missed. Vague equivalents — 'priority response', 'regular visits' — are unenforceable by design. The single best predictor of contract satisfaction is whether the provider volunteers measurable commitments in writing before being asked. We do, because we intend to be measured.

For commercial premises, the argument for planned maintenance is financial predictability. AC failure in a trading restaurant isn't a repair bill; it's lost covers. A pump failure in a residential building is a night of tenant calls. Scheduled preventive work converts those spikes into a known monthly cost, and documented asset registers turn replacement planning from surprise capex into a budget line seen a year out. CFOs approve maintenance contracts for the smoothness, not the wrenches.

Compliance documentation, before you're asked for it

Commercial premises answer to inspections — civil defence, food safety, building management, insurers. Each expects maintenance evidence: service records, safety certificates, test documentation. A provider who keeps these current and hands them over on request removes a category of risk that surfaces at renewals, claims and audits. Ask any prospective contractor to show a sample monthly report and certificate file from an existing client; the ones who can, do so immediately.
